Many solopreneurs cite time management as their biggest challenges! You’re not alone! Whether you’re struggling to stay organized, meet deadlines, balancing your side hustle with your career, finding time for yourself and your family, this guide is your roadmap to mastering time management.

From proven techniques to cutting-edge tools, I’ll share everything you need to reclaim your time and thrive in your business. Let’s dive in!


Why Time Management is Critical for Solopreneurs and business owners

    • Focused effort on revenue-generating activities. Automate some of your basic tasks!
    • Improved work-life balance. Work to live, not live to work.
    • Reduced burnout and increased long-term sustainability. Note to self, remember your “why”. There is a reason why you are working so hard, if you can’t protect and provide for yourself, you can’t do it for others, including future you!

Conducting a Time Audit to Understand Your Day: IDENTIFY THE ISSUE!

  • Step 1: Track your activities: Once you start to jot down all your daily movements and tasks, you will have a much clearer understanding of what you do day by day. The best way to track this is in a journal or free applications like google suite to document how you spend each hour. THIS IS FREE! DO NOT OVERCOMPLIATE THE PROCESS, ONLY SPEND MONEY IF YOU REALLY NEED TO!

I’ve provided a snapshot of what a work Sunday looks like (Not every Sunday, I promise I spend time with my friends and family time to time)

  • Step 2: Identify time-wasters: After a few days of this, what does your list show? For me I find that I wasted a lot of time aimlessly on social media scrolling, attended unnecessary meetings, and multitasked a bunch of tasks resulting in a slower result.
  • Step 3: Analyze productivity patterns: When are you most focused, and when do you experience dips in energy? I like to do 2 hour bursts and have a 10-15 minute break.
  • Step 4: Set benchmarks for improvement: Define clear goals for how you want to allocate your time moving forward. “Plan your tomorrow, today”, own your day and know where you are going, or your day will own you.

I have dabbled on all of the below management techniques so you can cherry pick which one you gravitate to the most.

  • The Eisenhower Matrix:
    • How to categorize tasks as urgent/important, not urgent/important, etc.
    • Examples of prioritizing tasks effectively.

The Eisenhower Matrix has been a game-changer for me when it comes to managing my time and priorities. It’s a simple tool that divides tasks into four quadrants based on urgency and importance: Do, Decide, Delegate, and Delete.

When I first started using it, I realized I was spending too much time on urgent but unimportant tasks, like responding to non-critical emails, and neglecting important, long-term goals like strategy planning for my business. Now, I consciously focus on the “important but not urgent” quadrant, where the real progress happens. It’s not just about getting things done—it’s about getting the right things done. This shift has helped me reclaim my time and focus on what truly moves the needle in my personal and professional life.

  • Time Blocking:
    • How to divide your day into dedicated time slots for specific tasks.
    • Best practices for avoiding over-scheduling.

Time blocking has completely transformed how I approach my day. Instead of letting my to-do list dictate my schedule, I assign specific blocks of time to each task or activity. It’s like creating a daily blueprint for my time. For example, I reserve my mornings for high-focus work, like planning new business strategies or crafting content, and I block afternoons for meetings and admin tasks. At first, it felt restrictive, but I quickly realized how freeing it actually is—I know exactly what I need to focus on at any given moment. Time blocking keeps distractions at bay and helps me stay productive without feeling overwhelmed. It’s been the key to balancing my growing business and personal priorities without burning out.

  • Batch Processing:
    • Grouping similar tasks (e.g., emails, invoices) for better efficiency.
    • Benefits of reducing task-switching fatigue.

Batch processing has been a lifesaver for me, especially when juggling repetitive tasks in my business. Instead of switching gears constantly throughout the day, I group similar tasks and knock them out in one dedicated session. Look at the first image I shared, I worked on the one business and I kept it all to admin and text tasks like writing articles. The item that broke from that was working on my stock and fulfilling orders so I can remove myself from the computer screen.

At first, I underestimated how much time I was wasting transitioning between tasks, but batching eliminates that inefficiency. It also helps me get into a flow state where I’m more focused and creative. Now, whether it’s responding to emails, prepping client proposals, or even meal prepping for the week, batching helps me work smarter, not harder. Just because you are busy, doesn’t mean you are productive.

Building Productive Habits to Maximize Your Time

  • Morning Routines for Success:
    • Ideas for starting your day with focus and clarity. Again, plan tomorrow, today.
    • Examples: As you can see mine is super basic. I have a cold shower to wake up and I stretch then get some sun on.

    • Scripts for saying “no” to low-priority requests.
  • Taking Regular Breaks:
    • The importance of stepping away to recharge.
    • Techniques like the 52/17 rule (52 minutes work, 17 minutes break).

    • Emotional exhaustion, reduced performance, and detachment. If you manage your task list daily, you can move and pivot. You can not track what you do not measure so it is important to stay close to your daily task list.

    • Allocating time for hobbies and relaxation. I generally reserve this for Friday and Saturday evenings.

    • Define what success looks like for time management (e.g., completing top 3 tasks daily). You saw I wasn’t perfect with my day but so long as I do the majority of my tasks I am fine.

    • Acknowledge milestones to stay motivated.
